One claim, from due to paid
42 seconds, no sound, with subtitles: reminder, letter by post, instalment plan, paid. Everything you see comes from the demo account.
What happens to a claim
The days shown are the default settings. You decide the intervals, how reminders are sent and whether DebtFlow sends them automatically at all.

Payment reminder
automatic
With automatic reminders switched on, the debtor receives a payment reminder by email three days after the due date: friendly, with ten days to pay, your bank details and the payment reference.

Second reminder, by post if you like
automatic
Fourteen days later, the second reminder follows. It can also go out as a real letter: DebtFlow hands it to Briefdiener, a German print-and-mail service that prints and posts it. 10 letters a month are included in the subscription. For registered letters, you see the delivery status right in the claim.

Letters can also be sent by hand: choose the type and, if you like, send it as a registered letter. Your remaining quota is shown right below. - Day31
Final reminder
automatic
The third stage sets a seven-day deadline and announces the court dunning procedure (gerichtliches Mahnverfahren). After that, DebtFlow stops sending reminders: what happens next is up to you.

Before sending, you see the letter exactly as it will be printed: sender, recipient, amount outstanding, deadline and bank details. - any time
Instalments
your call
If the debtor offers to pay in instalments, you set up an instalment plan. DebtFlow reminds them before each instalment and lets you know when one is due or overdue. Every payment is credited to the claim.

Enforcement
your call
With an enforceable title (Vollstreckungstitel), you can move on to enforcement, for example by garnishing a bank account or wages. DebtFlow calculates default interest to the day under section 288 of the German Civil Code (BGB), using the current base rate; the statement of claim allocates payments under section 367 BGB.

Frequently asked questions
- Who is DebtFlow for?
- For freelancers, small businesses and landlords who want to chase unpaid invoices themselves, and for collection agencies and law firms that manage claims for clients. DebtFlow is software: we do not collect debts on your behalf and we do not provide legal advice.
- How do automatic reminders work?
- Once you switch them on in the settings, DebtFlow checks your open claims every day. If a claim is overdue, the debtor receives the next reminder stage by email, provided an email address is on file – up to the third reminder. For each claim, you can also choose to send reminders by post.
- How does sending letters by post work?
- Reminders are printed and delivered as letters by the German mail service Briefdiener. A monthly letter quota is included in the subscription. Alternatively, you can connect your own Briefdiener account and letters are then sent through it.
- How much does DebtFlow cost?
- You pay €5.00 per debtor per month (excl. VAT, businesses only). You can change the number of debtors at any time; changes are charged pro rata.
- Can I try DebtFlow first?
- Yes. Signing up is free. Once you have confirmed your email address, we review your account and usually approve it within one working day. You can then add one debtor without a subscription.
- Where is my data stored?
- Claim and debtor data is stored in data centres in the EU and transferred encrypted. You’ll find the details in our privacy policy.
